How to access the quick search for different items
When accessing the main page, a quick search section is available. Quick search allows searching for the following items: Accounts (i.e. Company names), Members (i.e. License Administrators), Entitlements, Catalog, Products, Files and Emails. Each quick search tab also gives access to advanced search for the selected item.
Accounts
How to search for an Account
Searching for an Account allows accessing the entire information related to the specific Account (i.e. Company). To search for an account, there are two options: you can search from the Quick Search / Accounts tab or from the Manage Account menu / Search Account option. You can use wildcards (like “research*” to look for “Research Systems, Inc.”).
How to list all the Members for an Account
Once you access the Account, the View Account page will also list the Active Members for the Account.
How to explore all the view options for an Account
From the View Account page, select the View button in the top left of the page. The drop-down menu shows all the available view options for the selected Account. This includes Entitlements, Emails, Downloads, FNE Devices and FNE Servers.
Members
How to search for a Member
To search for a Member, there are two options: you can search from the Quick Search/ Members tab or from the Manage Account menu / Search Members option. The Search Result table will show the results.
How to access Member details
In the search result table, click on the member
name to view the Member details.These include information about the Account, the address, the status and the Last Login Date.
How to view Emails sent to a Member
From the View Member windows, select the View button / View Emails. A table will show information about the emails sent by the system to the customer, including the email type, the time and the status. Available status are: draft, queued, processing, sent. Select the related item to open the record and view the email content.
How to view the Downloads for a Member
From the View Member windows, select the View Button / View Downloads. A table will show the list of the products downloaded by the customer, including the time and the file name.
Entitlements
How to search for an Entitlement
From the Quick Search / Entitlements, search by Order ID to view the entitlement related to the corresponding order, or by Account Name to list all the entitlements related to the specified Account. A second option is to go to the main Entitle Customers menu / Search Entitlement option. An advanced search is available, where an Entitlement can be searched by several criteria, for example by providing the Activation Code. We can also search by Account information to have a list of the entitlements associated to a specific Account.
How to inspect which products are included in an Entitlement
After opening an Entitlement view, the Line Item section in the bottom part of the view lists the products (column Catalog Item IDs), the quantities allowed for the item and the maintenance expiration date. By unfolding each Catalog Item, further details are shown, namely the Activation Code corresponding to the related item and quantity.
Emails
How to search for an Email
From the Quick Search / Email, search by email address to show the list of emails sent to the specified user by the FNO system, including the email type and subject, the related maintenance contract, the time and the status (draft, queued, processing, sent). Select the item to view the Email Details and Content.
Devices / License Servers
How to search for Devices / License Servers associated to an Activation code
We might need to identify the Devices / License Server where an Activation code has been used to activate a product. If we receive the activation code from the customer, we can run a search from the menu Manage Hosts / Search Device or Manage Hosts / Search License Servers, by entering the Activation Code in the search. For Devices, the result shows the Device ID, the Alias (i.e. the hostname), the Account name and other information. For License Servers, the result shows the License Server ID, the Alias (i.e. the hostname – not always available), the Status and other information.
How to list the products activated on a specific Device / License Server
After identifying the Device or the License Server (see above for instructions), the View Device (or View Server) page will show details on the selected Device (or Server). This view includes information about the Device ID, Alias, Owner account and other details. The bottom part of the page includes the Add-Ons view, which lists all the Add-Ons (i.e. products) currently installed on the selected device. Each Add-On is listed with the related Activation code, the system entitlement, the expiration date and the quantity (units configured on device).
How to obsolete a Device / Server
To make a device (or server) obsolete,
search for the proper device (or server).Once in the View Device (or View Server) window, select the Edit button from the upper left side and select Make Obsolete. This action will clear any Add-Ons (license products) previously activated on this device /server.
How to clear a machine which has been returned by a customer from the DLC
If a license administrator selects the Return Device option from the DLC interface, the selected machine will be “blacklisted” and any new activation code will work on this machine. The status of this machine is set as RETURNED in the FNO. To fix this situation and make the device available again to activate a license, we would need to login to the FNO Producer Portal, identify the device and make it obsolete (see previous topic on how to make a device obsolete).
** NOTE ** If the device which has been returned had some active licenses in it, returning the device will automatically return the licenses and make them available to be used on another machine. However, the “old” machine will still keep the license installed on it until a new action that that requires a connection to the FNO is performed (i.e. activate a new license or deactivate an existing license from the Harris License Administrator Tool).
How to view the Device / Server History
From the View Device (or View Server) page, select the View button > View Device History (or View Server History). The result will show the history in terms of capability requests from the device (or server) to the FNO and capability responses from the FNO to the device (or server). The activation request also includes the activation code and quantity. This can be helpful for troubleshooting.
How to view the Device / Server Requests
From the View Device (or View Server) page, select the View button > View Device Requests. Similar to the above Device History, but with more details, the result will list all the requests and responses in a sort of log including activation codes, quantities, features activated on the device and other information. This can be helpful for troubleshooting.
How to Map Add-Ons for a specific Device / Server
From the View Device view, select the Add-Ons button > Map Add-Ons. The result will show all the available Add-Ons for the specific device, i.e. all the products available for the specific company to be installed on the device. The list will include any entitlement having seats available. Column “Available Units in Line Item” shows the available seats while column “Total Units in Line Item” shows the total seats for the specific product in the entitlement.
